Quickly import data into KPA EHS with a spreadsheet called a "dataload". Load employee profiles, training, assets, inspections, and more.
It can be tedious to add dozens (or thousands) of employee profiles, assets, or trainings to a website one-at-a-time. KPA EHS provides a "dataload" process where data can be bulk-loaded using properly formatted spreadsheets.
For example, a dataload for creating new employee profiles would be a spreadsheet with columns like FirstName, LastName, EmployeeNumber, JobTitle, etc. This spreadsheet is then uploaded to KPA EHS and the system will verify that it is in the correct format and give you a preview of what changes will be made.
The following types of data can be bulk-loaded with a spreadsheet:
Within the control panel of your KPA EHS site, there is an in-depth documentation page explaining exactly how to format your dataload spreadsheet. This document includes column names, column descriptions, examples, and sample spreadsheets that you can download and use as a template.
In some cases you might be pulling data from another system and would prefer not to convert it to the KPA EHS format each time. For an additional cost, the KPA EHS development team can create an "adapter" which will automatically convert your existing spreadsheet into a format that will be accepted by KPA EHS.
Dataload files can be loaded through the web application, but they can also be uploaded via the free KPA EHS API. This gives your IT group a free option for automating the process of loading employee profiles, assets, training information, etc.
If the API is not an option, the KPA EHS development team can also setup a secure FTP dropbox (for an additional cost). The KPA EHS system will automatically load data files from that dropbox as dataloads. You can also setup email notifications for failed and/or successful data loads.
